Position Overview:
Rensel Consulting, a small firm, is experiencing rapid growth and is seeking a highly organized and versatile Operations Manager/Executive Assistant to support the firm's President. This dual role combines financial and administrative operations with executive support responsibilities. The ideal candidate will bring strong organizational, technical, and communication skills, with the ability to manage diverse tasks in a fast-paced consulting environment.
Key Responsibilities:
Operations Management
Utilize QuickBooks Online to process payroll, manage invoices, track expenses, and generate financial reports.
Support accounts payable/receivable, vendor management, and other financial processes.
Assist with budget tracking and preparation of financial summaries for leadership review.
Develop and refine internal processes to support company operations and compliance.
Manage software licenses, office tools, and coordination with IT resources.
Executive Assistance
Provide direct support to the President, including scheduling meetings, managing calendars, and coordinating travel arrangements.
Assist with internal employee needs such as onboarding support, training logistics, and document preparation.
Draft, review, and edit correspondence, presentations, and reports with a focus on clarity and grammar.
Serve as a point of contact for clients, partners, and staff, ensuring professional communication and follow-up.
Coordinate and support internal meetings, including agenda preparation and note-taking.
Qualifications:
Bachelor’s degree in Business Administration, Finance, Communications, or related field (or equivalent experience).
3–5 years of experience in operations management, executive assistance, or administrative roles.
Proficiency in QuickBooks Online (payroll, invoicing, and financial reporting).
Strong working knowledge of Microsoft Office products (Word, Excel, PowerPoint, Outlook).
Experience with O365 administration or SharePoint administration is a bonus.
Excellent organizational, time management, and multitasking abilities.
Strong written and verbal communication skills, including proofreading and grammar editing.
Ability to handle sensitive information with discretion and maintain confidentiality.
